Executive Assistant Job Description

XYZ is a venture firm that invests in early-stage founders to help them go faster. We aim to support entrepreneurs in building enduring companies in fintech, enterprise and tech-forgotten industries such as insurance, the public sector and procurement. We primarily back founders at the earliest stages of company building — people who have discovered a key insight and have an unfair advantage from “doing the work” or based on their own lived experience.

We’re hiring an Executive Assistant to support our East Coast-based investment partner, Chauncey Hamilton. This role acts as a strategic thought partner to support her investment activities while she executes deals and supports existing portfolio companies. In addition to supporting Chauncey, the Executive Assistant works closely with XYZ’s administrative team on firm-wide objectives and activities. 

Location 

  • CT / East Coast-based highly preferred

  • Primarily remote, however must be able to co-work semi-regularly 

Responsibilities Include

  • Strategically manage the Partner's complex and busy calendar. Schedule and reshuffle meetings to ensure priorities are being met and focused on.

  • Personal assistant activities centered around balancing work calendar with personal obligations.

  • Arrange and book travel both domestic and international. Create and design trip itineraries taking into account partner’s preferences.

  • Manage and own external events - setting strategy, devising a roadmap, and partnering with third-party vendors to execute events. 

  • Provide high quality customer service to founders and colleagues.

  • Handle a dynamic workload and make decisions (often with limited context).

  • Process expense reports.

  • Handles other tasks as needed.

    Qualifications

    • 5+ years of experience supporting a Senior Executive in a VC, Finance, or Private Equity environment preferable. 

    • Previous experience or knowledge of venture and/or startups preferred.

    • Experience managing and executing events. 

    • Resourceful, well-organized, and detail-oriented.

    • Excellent communication skills - both verbal and written.

    • A self-starter capable of multi-tasking and prioritizing.

    • Ability to execute and deliver in an incredibly fast-paced, evolving environment. Capable of working in a fluid environment with ever-changing schedules and priorities.

    • Anticipates needs ahead of time; forward thinker.

    • Tech-savvy. Quick learner to adjust to new tools.
